The Executive Assistant is required to provide a confidential administrative support through the timely, efficient, and effective performance of all administrative duties required by the Corporate Secretary. He/She is also responsible for ensuring a high level of discretion, maturity, and judgment in responding to enquiries arising from customers, members of the public and employees. The person is required to develop and maintain an efficient record keeping system.


OBJECTIVES:
1. To provide a confidential administrative support through the timely, efficient and effective performance of all administrative duties required by the Corporate Secretary.
2. To ensure a high level of discretion, maturity and judgment in responding to enquiries arising from customers, members of the public and employees.
3. To develop and maintain an efficient record keeping system.
4. To demonstrate appropriate behaviours relating to the Company’s Core Values.
5. To contribute to the development of COLFIRE and its products and deliver excellent service.

 

RESPONSIBILITIES:
1. To assist the Corporate Secretary in the preparation of documents for Board Meetings and the Annual General Meeting of the COLFIRE Group of Companies.
2. To assist the Corporate Secretary with all matters pertaining to Shareholders of COLFIRE and its subsidiaries.
3. Administrative duties including filing, diarizing all appointments, mail/correspondence, stationery.
4. Preparation and sending out Dividend Notices/Payments and COLFIRE’s Group of Companies Annual Report for the Annual General Meeting.
5. To assist with completing beneficial ownership returns as required by the relevant legislative provisions.
6. Filing of returns at the Companies Registry.

7. To assist with the share transfer process, including the assessment and payment of stamp duty at the Board of Inland Revenue.
8. Arranging and co-ordinating Board Meetings or any other meetings as required in consultation with the Corporate Secretary.
9. Management of the Shareholders’ database of all Group Companies.
10. Taking of Minutes of the Management Team meetings and to observe confidentiality of information.
