QMS Coordinator

- OBJECTIVES AND GENERAL OVERVIEW OF THE POSITION:
SUMMARY OF JOB: The QMS Coordinator supports the QMS Lead in the development, implementation, maintenance, and continual improvement of the Quality Management System for ACL. This role ensures effective document control, audit coordination and planning, compliance tracking, training support, and data integrity, enabling the QMS Lead to focus on governance, strategy, and continuous improvement.
KEY RESPONSIBILITIES:
- Ensure maintenance and compliance of ISO 9001 certification in external audits.
- Provide day-to-day operational support to the QMS Lead in maintaining ACL QMS in alignment with ISO 9001:2015 requirements.
- Assist the QMS Lead in coordinating QMS activities in ACL, ensuring consistency and standardization.
- Track QMS Deliverables, actions, and commitments arising from audits, management reviews, and improvement initiatives.
- Creates, maintains, and audits processes to ensure conformance to company policies and standard operatingt procedures.
- Administer and maintain the QMS by ensuring version controls, approval workflows, and accessibility of controlled documents.
- Coordinate the creation, review, approval, distribution, and archiving of QMS documents (policies, procedures, SOPs, forms).
- Maintain the Master List of Controlled Documents and ensure timely removal of obsolete documents.
- Support process owners and authors in preparing documentation that aligns with QMS standards and sector templates.
- Support the planning and coordination of internal and external audits, including schedules, evidence collection, and audit logistics.
- Track non-conformances, corrective actions, and preventive actions (CAPA), ensuring timely follow-up and closure.
- Coordinate QMS-related training sessions, including document rollouts and refresher training.
- Collect, maintain, and report QMS performance data and KPIs as directed by the QMS Lead.
- Support root cause analysis activities and continuous improvement initiatives by preparing data, documentation, and action trackers.
- Promote awareness of QMS requirements and good documentation practices across ACL.
EDUCATION AND TRAINING
Formal Education
- A degree is not required; however, an equivalent combination of education, training, and relevant work experience will be considered.

7. TECHNOLOGICAL PROFICIENCY

8. PREVIOUS EXPERIENCE NECESSARY TO PERFORM THE JOB
- One (1) to three (3) years of relevant experience in a related field.
- Lean Six Sigma certification (Yellow, Green, or Black Belt) is considered an asset.
- ISO 9001 Internal Auditor certification is required or highly preferred.
- Experience supporting quality management systems and continuous improvement initiatives is an advantage.
