Job Summary
The Property Administration Lead is responsible for the effective administration and financial oversight of an assigned property portfolio. The role ensures leases are accurately administered, tenant accounts are maintained, billings and recoveries are correctly applied, and portfolio performance is monitored.
Working closely with the General Manager, Finance and Facilities teams, the Property Administration Lead supports tenant retention, lease compliance and revenue optimization while providing accurate reporting and commercial insights to support management decisions

 
Key Responsibilities

Lease Administration
Administer commercial lease agreements throughout the lease lifecycle.
Maintain accurate lease records and monitor critical lease dates.
Ensure lease terms are correctly interpreted and implemented.
Prepare lease renewals, amendments and supporting documentation.
Monitor lease compliance and escalate non-compliance where necessary.

Tenant Administration
Serve as the primary administrative contact for tenants regarding lease-related matters.
Build and maintain positive tenant relationships.
Coordinate with Finance and Facilities to resolve tenant issues promptly.
Billing & Revenue Management
Review tenant billings to ensure accuracy.
Verify rent, service charges, utilities, business surcharge and other recoveries.
Identify and work with finance department to resolve billing discrepancies.
Monitor tenant arrears and support collection efforts.
Ensure lease terms are accurately reflected within billing systems.

Portfolio Performance
Monitor occupancy, rental income and arrears.
Conduct rental and portfolio analysis to identify revenue improvement opportunities.
Prepare renewal recommendations and rental reviews.
Support budgeting, forecasting and variance analysis.
Prepare monthly portfolio performance reports and dashboards.

Property Operations
Conduct periodic inspections of assigned properties.
Liaise with Facilities Management on tenant-related operational matters.
Coordinate with Legal on lease documentation when required.

Qualifications
Bachelor's Degree in Real Estate, Business Administration, Legal, Finance or a related discipline.
Minimum 3–5 years' experience in commercial property administration or property management.
Experience administering leases and managing tenant accounts.
Strong financial, analytical and reporting skills.
Proficient in Microsoft Excel and property management systems.

Other Requirements
Valid Trinidad and Tobago Driver's Permit.
Willingness to travel to assigned properties across Trinidad and Tobago.
Quarterly inspections of all assigned properties are required.
