Administrative Assistant I

POSITION SUMMARY
Provides administrative and secretarial support to the Department daily. Projects a professional company image through in-person and phone interaction.
KEY ACCOUNTABILITIES
- Provides administrative support to the Manager, including telephone coverage, mail handling, inventory supplies control, internal and external communication and filing.
- Assist with the preparation of the Advertisement and stamp duty process.
- Assist with preparation of payments of all invoices received, Refund Cheques, Payments, rechecks work for cheque Request Forms (CRFs), GACC and PPAY.
- Typing of letters, memos, forms, policies, time sheets, leave forms and procedures (including handling of confidential information).
- Assist in the collating and distribution of documents for signoff and approval by the Manager
- Assists in the management of schedules and handles calls from both internal and external sources.
- Updates all customer databases.
- Monitors and ensures adequate supplies of Stationary and other supplies for the department.
- Demonstrates a thorough knowledge of the Company’s products and procedures, and a good understanding of industry regulations and guidelines as it relates to the provision of information and services to clients.
- Provides prompt and quality Customer Service by projecting and demonstrating a high level of professionalism, courtesy and initiative in accordance with established guidelines and policies
EDUCATION & QUALIFICATIONS.
- 5 CXC O’Levels
- Minimum 2 CAPE passes.
- Diploma in business administration or management would be an asset.
- LOMA 281, LOMA 291 would be an asset.
TRAINING
- Proficient in Microsoft Office Suite, e.g. Microsoft Word, PowerPoint, Excel, Access.
- Knowledge of business procedures and Industry’s structures, regulations, policies and procedures.
- Good spelling and grammar skills.
EXPERIENCE
At least 1 year in an administrative position
